Payments

The payments module in Student Account Advisor supports multiple cashier stations while communicating in real-time with the student information system. Cashiers can accept in-person and over-the-phone transactions, including account balances, and, depending on the ERP, student deposits, or line item payments. The centralized place to enter transactions and automatic posting to the general ledger saves time and reduces the potential for error. Roles and permissions ensure only those who need access can view data and perform specific tasks.

Payment methods accepted include:

  • ACH Payments: ARC, BOC, TEL
  • Credit Card
  • Debit Card with PIN
  • Paper Check
  • Cash and cash like payments
  • Pre-Authorized Cards
  • PayPath (service fee)

 

Departmental Deposits

Campus departments can record their payment transactions in a web-based application and send them to the business office with little or no help from a cashier, eliminating the need to re-enter receipts. The deposit description is included on reports and receipts, which can be printed or emailed, providing confirmation. The module provides a detailed report and automatically updates the general ledger, reducing manual processes and simplifying reconciliation.

Non-Student Payments

The Departmental Deposit module also allows acceptance of non-student payments, such as facility fees for room rentals, transcript copies for former students, and visitor parking tickets. These payments are not affiliated with a student or student account, and automatically post to the general ledger, streamlining reconciliation. Staff can void payments, view pending and completed payments, and pull reports to ease payment management.
